Payment Policy & Terms for Meeting/Event Fees

 

  • A credit card is required to guarantee a reservation for any upcoming Chapter event.

 

  • DEADLINE to RSVP, cancel or modify a reservation must be received no later than the deadline posted on the registration notices on the Chapter's website.

 

  • CHAPTER MEETINGS:
    • Bona fide IFMA Chapter members, as registered with IFMA's International headquarters*, will pay the meeting/event rate listed on the website registration notices.
    • Non-Chapter members (those who elect the "Base IFMA Membership" option,  visitors and/or guests will be charged the higher fee as designated on the website registration notices.
    • Chapter members may always bring a guest.
      • A reservation must be made for any guests you bring.
      • If your guest is a Facilities Professional (as verified by the title on his/her business card), you may contact the Membership chair to waive the fee for his/her first visit.
      • A Chapter member's* significant other may attend; the charge will be at the member rate for that meeting.
      • All other guests will be charged Non-Chapter member fee posted in the registration notices on the Chapter's website.

 

  • SPECIAL EVENTS: From time-to-time, the Chapter may elect to hold a special function or seminar. Pricing for these events will be established by the Board of Directors and posted on the registration notices. This would include, but not be limited to, the annual Road Trip, educational seminars and the Holiday party.

 

  • WALK-INS, THOSE WITH NO GUARANTEED RESERVATION OR A RESERVATION MADE AFTER THE DEADLINE:
    • The facilities which host our Chapter meetings strictly enforce a cut-off date when we must provide a firm head count. We are assessed an up-charge for any increase in head count after that deadline. We must pass that up-charge on to our attendees. THEREFORE, if a reservation is made after the posted deadline, AND we can accommodate the additional count, the event fee will be doubled.

 

  • SUBSTITUTIONS: If you have guaranteed a reservation, but are unable to attend, you may send someone in your place with the following restrictions:
    • Fee applied and payment method will be consistent with those set out in this policy; i.e. if a non-Chapter member attends in place of a Chapter member, the cost would be adjusted to the higher non-Chapter member fee.
    • If a Platinum Sponsor's chapter member cannot attend, they may send one (1) substitution that can attend at the member rate.

 

  • NO-SHOWS: Because we pay for food and rent rooms sized on the number of people who respond, no-shows will have the full amount charged to the credit card used to guarantee the reservation.

 

  • PAYMENT:
    • - When you check in at an event/meeting you may either pay with your credit card (used to guarantee the registration), another credit card or with a check.
    • - Payment in full must be at time of registration; we are no longer able to invoice or provide billings.
    • - Unfortunately we cannot accept cash or debit cards as payment.

 

  • The SunCoast Chapter of IFMA reserves the right to refuse service to and/or limit attendance to any Chapter function or event, for any reason, at anytime, with or without cause.
